Salesforce vs. HubSpot 2026: which CRM fits?

Annika Daul September 26, 2026 · 7 min read

Salesforce and HubSpot dominate the CRM market but address different requirements in the mid-market. While HubSpot scores with a fast setup and a tightly integrated interface, Salesforce offers the deepest customisation for complex sales structures and heavily regulated industries. The decision depends on the complexity of your processes, your reporting requirements and the scaling you plan for your company.

At a glance
  • HubSpot suits companies with straightforward sales processes and a strong focus on inbound marketing particularly well.
  • Salesforce plays to its strengths with complex account hierarchies, channel sales and deep reporting requirements.
  • The pricing models differ fundamentally: HubSpot often bills by contact tiers and hub suites, Salesforce per user and feature set.
  • Administrators rate HubSpot's setup as easier but value Salesforce for its unmatched flexibility in permissions and data modelling.
  • As a certified Salesforce partner we evaluate both systems against technical criteria to find the best solution for your individual use case.

Which CRM system is the better fit, HubSpot or Salesforce?

HubSpot is the better choice if you are looking for a quickly deployable all-in-one solution where marketing, sales and service work together in one unified interface without much configuration effort. The software achieves high user adoption and offers simple automations for standard workflows.

Salesforce is the more suitable CRM if your mid-sized company has to map complex B2B structures. These include nested account hierarchies, multi-level partner sales models or specific requirements from heavily regulated industries. The system offers deep customisation and a large ecosystem of extensions. If you run standard processes, HubSpot is the less complicated route. If you build your CRM as the customised heart of your company IT, you will hit functional limits in HubSpot and need the architectural depth of Salesforce.

Strengths and limits in direct comparison

Both platforms follow different philosophies in how the software is built.

Who is HubSpot suitable for?

HubSpot targets growing companies looking for one central place for marketing, sales and customer service. A universal inbox bundles communication. Sales reps access email templates, set up campaigns and send documents without switching between applications. Internal HubSpot studies show that former Salesforce customers spend less time managing data after switching.

Administrators appreciate HubSpot’s uncomplicated automation. Workflows can be clicked together quickly. Gaps in functionality can often be closed with external tools such as Zapier. The data model, which does not necessarily separate people into leads and contacts, suits many marketing teams.

As companies grow and reporting requirements rise, functional limits show. Complex formula fields are often hard to implement and the dashboard designer feels rigid by comparison. Control over which user may see which fields (page layouts) is also less granular than with the competition. HubSpot therefore fits best with transparent organisations with straightforward processes that do not operate in heavily regulated industries.

When Salesforce is the better choice for mid-sized companies

Salesforce has been on the market for more than two decades and is regularly rated the leading CRM by analysts such as IDC. The Sales Cloud is designed to make Salesforce usable for complex B2B structures.

If your company works with nested group structures where parent and subsidiary companies have to be viewed separately but linked, Salesforce plays to its strengths. The same applies to indirect sales through partners (channel sales). The data model can be extended with custom objects to map specific business models exactly.

Another plus is permission management. An administrator can tailor the interface individually for each user type. Field sales only sees the fields it needs on mobile for the visit report, while controlling displays in-depth financial data on the desktop.

This flexibility carries risks in the implementation of Salesforce. Inexperienced administrators quickly overload the system with too many validation rules and logic loops, which lowers user adoption. Salesforce requires clean architecture planning. Those who do it get a platform that scales with company growth and can be linked to almost any B2B tool via the AppExchange.

What does HubSpot CRM cost compared to Salesforce?

The pricing models of the two vendors differ structurally. HubSpot charges by the number of marketing contacts and the chosen feature package (hub), while Salesforce bills per user and edition. The following prices are based on figures from Handelsblatt for 2026.

A note on prices. For the comparison we use list prices. Both vendors usually offer discounts in negotiation that depend on timing, tool stack and number of users. Feel free to get in touch, we are happy to advise you.

Cost structure at HubSpot

The HubSpot CRM suite offers an entry point for small teams from 20 euros per user and month (Starter). For mid-sized companies it gets interesting from the Professional package, which starts at 100 euros per user and month (90 euros with annual billing). Large companies go for the Enterprise package, starting at 175 euros per user and month. Since October 2026, HubSpot is booked as one edition for the whole account instead of individual hubs. On top of that, a monthly credit allowance covers emails, workflows and AI agents: 5,000 units (Starter), 10,000 (Professional) or 15,000 (Enterprise), with every additional unit priced at 0.010 euros.

Cost structure at Salesforce

Salesforce offers the Sales Cloud in several editions. Since September 2026 they are called Core, Advanced and Max. The Starter edition (Starter Suite) begins at 25 euros per user and month. For sales teams that need customisable reports and forecast management, the Pro Suite at 100 euros per user is the option. The Core edition is 195 euros per user and month and unlocks API access and pipeline management. For comprehensive automation there is the Advanced edition (395 euros) with extended security and data capacity, and the Max edition (550 euros) with Agentforce for Sales and AI agents.

For budget planning: HubSpot gets expensive mainly through the number of licences and the sending volume, not through the size of the contact database. Since October 2026, emails and workflows consume credits. Salesforce requires a separate licence for every new sales rep, regardless of database size.

Setup, customisation and reporting in everyday admin work

In user satisfaction comparisons, as cited by the platform Avoma, HubSpot scores 8.4 out of 10 for ease of setup, better than Salesforce with 7.2 points.

Anyone who has understood the logic of a CRM finds their way around HubSpot quickly. The hurdles for basic automations are low.

Salesforce is the most customisable CRM on the market. You have to configure reports, dashboards and forecast functions initially. When it comes to complex analyses such as campaign attribution modelling, the ecosystem around Marketing Cloud Account Engagement offers deeper analysis options than HubSpot’s standard dashboards.

Artificial intelligence in the CRM: Agentforce vs. HubSpot AI

Both vendors integrate AI into their platforms but choose different approaches.

HubSpot relies on integrated agents that are set up without code. The Data Agent searches the web and continuously updates CRM data. The Prospecting Agent helps with automated customer acquisition, and an AI meeting assistant takes minutes of sales calls. The system suggests next steps for deals and drafts follow-up emails.

Salesforce is heading towards a platform architecture with Agentforce and generative AI. The AI does not just act as an assistant but carries out chains of action across departments. Customer-facing staff spot trends and focus on leads with the highest conversion probability. The AI draws on Salesforce’s entire customisable data model to do so.

Frequently asked questions

Who are HubSpot’s competitors?

HubSpot’s direct competitors in the CRM market include Salesforce and Microsoft Dynamics 365 for the upper mid-market and large enterprises, and Pipedrive or ActiveCampaign for smaller companies and start-ups. Pipedrive focuses on visual pipeline management, Microsoft Dynamics 365 scores with companies that work heavily in the Microsoft ecosystem, and Salesforce offers the greatest functional depth.

Is Salesforce the market leader?

Yes. According to the IDC Worldwide Semiannual Software Tracker 2024, Salesforce ranks first in CRM software for the eleventh year in a row.

How much does HubSpot CRM cost?

The cost depends on the edition, the number of users and the sending volume. The Starter version begins at 20 euros per user and month. For mid-sized requirements the Professional package starts at 100 euros per user and month, and the Enterprise version costs from 175 euros per user and month. On top comes the monthly credit allowance for emails and workflows.

Do I necessarily need developers for Salesforce?

No. Salesforce offers point-and-click tools that let administrators create their own apps, fields and processes without programming skills. For very specific integrations or highly complex logic, however, a developer is necessary.
